Personnel Affairs Administration

 

 

Personnel Affairs Administration at Faisaliyah Women Campus is one of the university’s administrative sectors that performs procedures related to personnel and the employment of staff including all faculty members, administration staff, and technicians. In this regard, this administration provides advice and assistance in cooperation with other administrations in order to develop human resources and attract expertise with excellent professional and academic qualifications.

Goals:

  • Upgrading and developing work mechanisms in order to serve all beneficiaries of the personnel administration at Faisaliyah Women Campus, and assuring quality in all administrative transactions.
  • Establishing a comprehensive data base for all faculty members, administrative staff and technicians for all women colleges.
  • Ensuring professional development for personnel staff members in Faisaliyah Women Campus by organizing training courses and workshops specialized in human resources and personnel in order to guarantee the efficiency and effectiveness of workflow.

     

    Academics Affairs Unit

     An executive administration that deals with administrative procedures related to upgrading the quality of the services presented to Saudi Academics.

    Duties and Responsibilities:

  • Receiving papers of Saudi academics and forwarding them to the person in charge in order to finalize the procedures as necessary.
  • Establishing a comprehensive data base for Saudi Academics for all branches of Women Colleges.
  • Reviewing teaching loads.
  • Following up the financial commitments.
  • Submitting the allowance request forms (computer allowance, rare specialization allowance, education allowance, damage allowance).
  • Submitting the University identification card request forms.
  • Submitting early retirement request forms.
  • Submitting extension of service request forms.
  • Submitting end of service request forms.
  • Forwarding dorms requests forms of faculty staff members.

 

 

Contractees Affairs Unit

 

Duties and Responsibilities:

  • Receiving papers from contarctees and forwarding them to the person in charge to take the necessary action.
  • Submitting the University Identification Card Request forms.
  •  Establishing a comprehensive data base for contractees for all branches of Women Colleges.
  •  Submitting the airline ticket request forms of contractees to the concerned party.
  •  Submitting contactees’ evaluation forms to the concerned parties.
  •  Submitting the contract renewal forms.
  •  Submitting the Mubashara (reporting to work) forms of all contractees for all branches of Women Colleges.
  •  Submitting the announcement request forms of the specializations in demand.
  •  Submitting the resignation forms and settlements.
  •  Submitting the family visit (Istiqdam) request forms and the visit visa request forms.
  • Submitting the Annual Leave forms.

 

 

Administration Staff Affairs Unit

 

Duties & Responsibilities:

  • Receiving papers for administration staff members and forwarding them to the person in charge to take the necessary action.
  • Establishing a comprehensive data base for administration staff members for all branches of Women Colleges.
  • Submitting the administration staff evaluation forms.
  • Forwarding the rotation request forms.
  • Submitting medical reports.
  • Submitting career advancement forms, rotation forms, and salary statement forms.
  • Submitting scholarship allowance request forms.
  • Following up the procedures of Control and Investigation Board.
  • Submitting university identification card request forms.
  • Defining work official timings, reporting, leaving.
  • Submitting the papers related to ratifying the staff member reporting party.
  • Submitting the Mubashara forms for all staff members.
  • Submitting the transactions of the assigned and contracted staff members.

 

 

Unit of salaries and allowances

This administration is an executive administration for all administrative affairs and regulatory measures of the unit of salaries and allowances. It works to improve the level of services provided (for academics, administrators and contractees) in accordance with the approved regulations.

Duties and Responsibilities of the unit:

  • Pay the dues of the Mandate (Administrators and Academics) and preparing and auditing the Individual payroll sheets.
  • Pay the dues of the allowances (scarcity - university education - full-time - appointment allowance and damage).
  • Preparing the sample of salary hold and unclaimed wages.
  • Preparing financial settlements after returning from maternity leave.
  • Adopting the sample of (fixed salary request, personal sponsorship, Real Estate Development Fund, Student Fund) to facilitate the loan system in the payroll system.
  • Follow-up the Pay of financial dues.
  • Auditing experimental and final payroll sheet for the current month.
  • Preparing and auditing of Paying salaries and allowances scholarships (internal - external) and settlements from the termination date.
  • Preparing and Execution the Deductions Amount (emergency leave for contractors).
  • Preparing Settlement of the end of service (contractors - Saudi academics).
  • Preparing and Execution the Deductions Amount (Deduction from the absence of administrators).
  • Preparing and auditing the Individual payroll sheets of the newly appointed with paying all due allowances in accordance with administrative decisions.
  • Preparing and auditing the Individual payroll sheets of the newly appointed with paying Housing allowance and furnishing allowance.
  • Preparing and auditing of Paying salaries and allowances for scholarships and preparing the settlement of their entitlements from the date of the ending of the scholarship.
  • Entering bank accounts numbers for salaries.

     

  • Review and auditing letters data of those who are working .Besides auditing and paying salaries and allowances of administrators and academics.
  • Preparing financial settlements after promotion.
  • Responding to inquiries about the unit transactions whether from external or internal parties, personally or by telephone.

     

    Recruitment and Resolutions Unit

     This is an executive management which helps the Deputy General Director of Personnel Affairs in the Women's Campus in Faisaliyah branch in relation to the recruitment affairs and administrative decisions and to apply and develop the procedures governing the operations of women appointment and organizing the special procedures and works to upgrade the level of services provided.

    Duties and Responsibilities of the unit:

  • General supervision of the unit management, organizing and coordinating the work between the employees and ensure the application of the system adopted.
  • Creating a special database for the recruitment and resolution unit in the Women's Campus in Faisaliyah branch.
  • To apply and develop operations procedures of women appointment and organizing special procedures to manage their own affairs.
  • Securing and preparing employment contracts in accordance with the policies and systems and regulations of the university.
  • Follow-up everything related to the service of female applicants for appointment through applying administrative affairs and provide and improve the methods of work.
  • Comply with The Execution and observation of all the rules and regulations that govern the works of administrative recruitment affairs.
  • Developing methods and procedures of administrative work for the success of working group during the application for employment.
  • Planning and coordination and applying practical measures to attract, select, provide and appointing cadres.
  • To organize all recruitment works and recruitment procedures and providing documents to complete the execution and evaluation of its results.
  • Completing the procedures of execution of all work procedures and foundations in the agency by applying the latest automated systems.
  • Applying the administrative procedures to make the administrative decisions issued by the Vice President Office of the Women's Campus in Faisaliyah branch.
  • Occupational safety procedures and redressing the imbalances, if any, to prevent any incidents that may occur in the future.
  • Organizing all administrative forms to be used and handled the right way.
  • Routine administrative work and responding to important calls concerning the recruitment and decisions of the unit and responding by the necessary action.
  • Responding to inquiries about the unit transactions whether from external or internal parties, personally or by telephone.
  • Identify the needs of the office stationery and devices and follow-up the maintenance.
  • Preparation of periodic and annual reports and statistics and corrective actions.
  • Save and archive all administrative documents and files of the unit so as to ensure their safety and quick access to them when need.
